View information about your employee's time clocks, services, labor costs, and efficiency in the shop

Individual Performance Reports display data to help you understand employee performance in your shop, such as time logs and labor costs.

Individual Performance Reports

Select the Reports icon from the left-side navigation bar. Find the Individual Performance section on the All Reports page.


Time Log Report

What were my technician’s time punches yesterday? View all time logs within a selected date range. Each time an employee clocks in or out will be recorded, regardless of being assigned to an estimate or invoice. Select Customize to choose which time log data is displayed.

Filters

Select Filters to choose which data is displayed in the Time Log report.

  • Time In: Displays data from time clocked in during a selected date range

  • Technicians: Displays data for a specific technician(s)

  • Activity Type: Displays data by activity type that the clocked time was assigned to (general, order, service, labor)

  • Activity: Displays data by activity that the clocked time was assigned to (specific orders, services)


Services By Technician Report

What did my technicians work on last week? This report shows each service your technicians have been assigned to. Each line represents a complete service that can contain multiple labor line items. The information for each service includes the service's date, name, the order number the service belongs to, and the service's invoiced hours. Invoiced Hours are the number of retail labor hours your customer was charged for a service. Select Customize to choose which time log data is displayed.

Click the employee’s name to view the details comprising these summarized amounts. Clicking the name will open the Technician Details report with the same filter definitions so you can view the time clock and order line item details matching the Services by Technician report.

Filters

Select Filters to choose which data is displayed in the Services By Technician report.

Services by technician report filters

  • Date Range: Displays data from within the date range selected

    • Invoiced: Show data from work orders with a status of Invoiced. Data will only show if a technician was assigned to the invoiced order (Assign Technicians to Labor Items)

    • Labor Completed: Show data from services that are marked complete. Only data from labor items that are marked complete in the status column of the order (both estimates and invoices by default) will be included

  • Order Status: Displays data from orders based on order status (estimate, invoice, or both)

  • Paid Status: Displays data from orders based on the paid status (paid, unpaid, partially paid)

  • Technicians: Displays data for a specific technician(s)

  • Customers: Displays data for orders associated with a specific customer(s)

Columns

The following columns are included in this report:

  • Technician: Name of the assigned technician

  • Invoiced/Completed Dates: The date the order was invoiced and/or the date the service was completed (depending on your filters)

  • Order: Name of the order

  • Service: Name of the service on the order

  • Current Rate: Labor rate set in that technician’s user settings

  • Tracked Hours: Time that technician clocked on that specific service

  • Total Labor Cost: Tracked Hours x Current Rate

  • Total Cost Hours: Cost hours recorded on assigned labor items

  • Total Labor Billed: Retail price of labor line items (calculated when orders are invoiced)

  • Total Billed Hours: Total retail hours on completed orders

  • Service/Order Efficiency: Total Hours Billed divided by Hours on Orders

    • For example, if a job is quoted to take 120 minutes and the technician finishes it in 90 minutes, the Service/Order Efficiency would be calculated as follows: 120 / 90 = 1.333 = 133% efficiency


Summary By Technician Report

How efficient are my technicians? View key info about your technicians including their labor costs, tracked hours, efficiency, and more. Select Customize to choose which time log data is displayed.

Click the employee’s name to view the details comprising these summarized amounts. Clicking the name will open the Technician Details report with the same filter definitions so you can view the time clock and order line item details matching the Summary by Technician report.

  • Date Range: Displays data from within the date range selected

    • Time Logged, Invoiced: Show data from work orders with a status of Invoiced. Data will only show if a technician was assigned to the invoiced order (Assign Technicians to Labor Items)

    • Time Logged, Completed: Show data from services that have been marked complete. Only data from labor items that are marked complete in the status column of the order (both estimates and invoices by default) will be included

  • Order Status: Displays data from orders based on order status (estimate, invoice, or both)

  • Technicians: Displays data for a specific technician(s)

  • Customers: Displays data for orders associated with a specific customer(s)

  • Activities: Displays data by activity (specific orders, services)

  • Total Labor Cost: Total Hours Tracked x Tech Hourly Rate

  • Total Cost Hours: Cost hours recorded on assigned labor items

  • Total Labor Billed: Retail price of labor line items (calculated when orders are invoiced)

  • Total Billed Hours: Total retail hours on completed orders

  • Service/Order Efficiency: Total Hours Billed divided by Hours on Orders

Commission Summary Report

How much is each user making from commissions? View commission amounts earned for labor, parts, and tires for estimates, repair orders, and invoices. Select Customize to choose which data is displayed.

Filters

Select Filters to choose which data is displayed in the Commission Summary report.

Commission Summary report filters

  • Created Date: Displays data for associated line items created within the date range selected

  • Order Status: Displays data from orders based on order status (estimate, repair order, invoice, or all three)

    • Please Note: You will only see repair order as a filter option if you have Repair Order Status enabled in your shop

  • Invoiced Date: Displays data for associated line items invoiced within the date range selected

  • Paid Status: Displays data from orders based on the paid status (paid, unpaid, partially paid)

  • Fully Paid Date: Displays data for associated line items and/or invoices fully paid within the date range selected

  • Users: Displays data for a specific user(s)

  • Roles: Displays data for a specific user type(s)

Columns

The following columns are included in this report:

  • Name: Name of the assigned user

  • Role: User role assigned to that user

  • Items: Number of items associated with that commission order/estimate

  • Total Retail: Total retail cost of associated commissioned items

    • Please Note: The dollar amount is calculated based on subtotal retail values of the line items before tax, discount, shop supplies, etc. (unless the discount is applied at the line item level)

  • Total Commission Amount: Labor Commission Amount + Parts Commission Amount + Tires Commission Amount

  • Labor Retail: Total retail cost of associated labor line items

  • Labor Commission Rate: The commission rate set for labor for this user

  • Labor Commission Amount: Total amount commissioned for the associated labor line item(s)

  • Parts Retail: Total retail cost of associated part line items

  • Parts Commission Rate: The commission rate set for parts for this user

  • Parts Commission Amount: Total amount commissioned for the associated part line item(s)

  • Tires Retail: Total retail cost of associated tire line items

  • Tires Commission Rate: The commission rate set for tires for this user

  • Tires Commission Amount: Total amount commissioned for the associated tires line item(s)


Technician Detail Report

A report that provides detailed items from time clocks and order line items. Because this report contains no summarized data, each time clock entry and each order line item will be returned on a distinct row. To return this detailed data in the same report, many rows will appear to have empty data across a set of columns. While some columns will return data for both time clock results and order line item results, in general, the time clock data is returned in columns to the left of the “Line Item Type” column and order line item data is returned in columns to the right of it.

This report will help you gain better insight into technician performance.

The Technician Detail report is directly related to the Summary by Technician or Services by Technician reports. For instance, selecting the technician name on a row in the Summary by Technician report will take you to the Technician Detail report, using the same filters selected in the Summary by Technician Report.

In the Technician Detail report, you can validate the Summary by Technician report aggregated totals with the itemized list in the Technician Detail report. For example, if the Technician Summary report returns 50 Total Billed Hours, the Technician Detail report will list the items that make up those 50 hours and the sum of those items in the Technician Detail report should also be 50 hours.

  • Date Range: Displays data from within the date range selected

    • Invoiced: Shows results where the order was invoiced

    • Labor Completed: Shows results where the labor line item was completed

    • Time Logged, Invoiced: Show data from work orders where time was logged and the order was invoiced in the same time frame. Data will only show if a technician was assigned to the invoiced order (Assign Technicians to Labor Items)

    • Time Logged, Completed: Show data where time was logged and the labor line item was completed in the same time frame. Only data from labor items that are marked complete in the status column of the order (both estimates and invoices by default) will be included

  • Paid Status: Displays data from orders based on the paid status (paid, unpaid, partially paid)

  • Line Item Type: Displays data by type of line item (Time, Parts, Labor, Tire, Subcontract, Fee)

  • Activity Type: Displays data by type of time clock activity (General, Order, Service, Labor)

  • Activities: Displays data by activity (specific orders, services)
