Assignments in Shopmonkey let your employees get credit for an order, help ensure accurate labor cost calculations, and let your employees get commissions for parts.

Don’t let an assignment slip past you. Shopmonkey can remind you to make assignments and prompt you when an estimate is converted to an invoice.


How to enable Prompt for missing assignments before invoicing

Assignment prompt and display settings are located in Settings > General Settings. Look for the Workflow Settings, and you’ll see Assignment Display options and the Prompt for missing assignments before invoicing toggle.

Make a selection to the Assignment Display settings to choose what you want to be prompted for.

  • Service Writer: Prompts when there is no service writer assigned to the order. This is useful for service writer reporting and commissions reporting.

  • Labor for Techs: Prompts when there is a labor Item on the service not assigned to a tech. This is useful for labor cost, profitability reporting, and commissions reporting. To learn more about the Flat Rate setting, check out our help article here.

  • Parts for Techs: Prompts when there is a part item or tire item on the service that is not assigned to a tech. This is useful for commissions reporting.

The prompt for missing assignments before invoicing toggle will alert you to any items unassigned when an estimate is converted to an invoice. Just switch the toggle to enable it and click save.


How to make assignments in an order

The Assignments display will allow you to assign service writers and technicians to an order. Make assignments by clicking on the Assignments link in the Order Information.

Whoever created the estimate will automatically be filled in as the service writer. To reassign a service writer, click their name in the top right. A service writer is assigned to the whole estimate. Only one service writer can be assigned to an estimate.

Assign a technician to a service on the estimate by clicking Assign or Assign all. The technician will be assigned to all service items in each service.

Service Item Assignments:

  • Labor Item: Only one technician can be assigned to a labor item.

  • Part Item: Up to two technicians can be assigned to a single part item. If two technicians are assigned to the same part item, their commissions will be split 50/50.

  • Tire Item: Up to two technicians can be assigned to a single tire item. If two technicians are assigned to the same tire item, their commissions will be split 50/50.

Editing an assignment

To remove or replace an assignment, click on the technician or service writer and click on their name with the check. This will remove that assignment then you can take steps to assign a new technician or service writer. Note: If you need to assign a technician to all services and there is a name in the top Technicians spot, take the steps in this section to remove the assigned technician and assign the desired technician.


Making assignments in the prompt

With the prompt for missing assignments turned on, the notification will appear when you change the estimate to an invoice. The prompt will only show the services & line items that are missing assignments, so any services & line items already assigned will not show up on the display.

Assign technicians or service writers with the same steps above. By clicking Assign all. The technician will be assigned to all service items in each service. If there are assignments already made, a prompt will warn you that using this option will override any previous assignments.

Note: The prompt will show when dragging a Workflow Tile to an Invoice column in the workflow or by converting it to an invoice from an order.

Click Finish at the bottom of the window when you’re done, and all of the assignments will be made.
