The Parts Workflow could save you hours not having to call around or ask team members if parts came in. In one location, you can view every part on your orders, search, filter, and sort through parts to find exactly what you’re looking for.

To get to the Parts Workflow, go to your Workflow page, then click the Parts button at the top.

From the Parts Workflow, you’ll see a list of all of your parts. From here, you can click on the part to make any edits in the right-side panel. You can also click on the order number to jump directly into the order.

Search

You can search for specific parts using the search bar at the top. Some of the most common searches are by Part Number, Part Description, Vehicle Name, or Service name.

Filters

One of the most powerful features to find parts is filters. With filters, you can narrow down your list by Workflow, Archive Status, Vendor, and Label.

  • Workflow: Use this filter to view parts in specific Workflow Columns. This filter will default to show all Workflow Columns. This is especially useful if you have created a Workflow Column for tracking parts. Filtering by this column will quickly show you a relevant list of parts.

  • Archive Status: Use this filter to view parts on archived and unarchived orders. This filter will default to show only orders that are not archived. This filter is helpful for looking for a part that you worked on in the past.

  • Vendor: Use this filter to view parts from specific vendors. This filter is not active by default. Use this filter to track down parts ordered from the vendor, open up the work order and then receive parts on the attached PO. For more information on the process for returning parts, check out our help article.

  • Label: Use this filter to view parts by status label color. This filter is not active by default. After selecting this filter, you’ll select a color. Each part with a status label of that color will be shown in the list. You can use the pre-made Shopmonkey labels like Ordered, Installed, Paid, completed, Need to Order, Waiting for Installation, and Part Delayed, or create your own. For more information on labels, check out our help article.

Columns

In the list, you’ll see columns of information like Order Number, Part Description, Part Number, Date, Status, pricing information, and more. You can sort the list by columns. By design, not all columns can be sorted. Click the column titles with the arrows to sort them in ascending or descending order. You can also remove any columns you want by clicking on the columns drop down in the top right and unchecking the column names.

Core Returns

You’ll also be able to see your Core Returns from the Parts Workflow. Click on the Core Returns tab at the top to view all of your parts associated with Core Returns. From here, you can track your Core Returns status and quickly update the status of your returns. For more information on Core Returns, check out our help article.
