Shopmonkey: How can I use reports from Estimates & Invoices?

Get a comprehensive view of all work orders, paid invoices, estimates, and more

Estimates & Invoices reports show order information collected from all estimates and invoices in your shop. Orders have two statuses in Shopmonkey estimates and invoices. These statuses will determine what information shows in these reports, so when the status of an estimate is changed to an invoice, it will show up on the All Invoices report. If the status is changed back to an estimate it will show up on the All Estimates report.

Note: the date range for the All Invoices, Paid Invoices, Unpaid Invoices, and Invoices By Service Writer reports are based on the Invoiced Date of the order, and the date range for the All Estimates report is based on Created Date for the order.


All Orders

Which orders were created yesterday?

This report shows you information for all active estimates and invoices in your shop. This report is the most versatile because it gives the most information for work orders in a single report. This report can show up to 35 items for each order including order information, customer and vehicle information, service information, payment information, and more.

This report can be filtered by Creation, Archived Status, Companies, Customers, Due Date, Order Status, Paid Status, QB Status, Term, Workflow to find the work orders you’re looking for.


All Invoices

What orders were invoiced this week?

This report shows important information on invoices. This report shows the same information as the All Orders report but only for orders with the status of Invoice within the selected date range. This report uses the Invoiced Date to determine what is in the date range to be displayed. It also uses the same filters.


Paid Invoices

Which invoices were paid last month?

This report is similar to All Invoices, but only shows invoices that have been paid in full. This means an order needs to have a status of Invoice and have all of it’s amount fully paid to show in this report. An invoice with a partially paid amount will not show on this report. If an order you expect to find in this report isn’t showing the first troubleshooting step should be to make sure it’s invoiced and fully paid.

This report can be filtered by Invoiced Date, Fully Paid Date, Archived Status, Companies, Customers, and QB Status to find the orders you’re looking for.


Unpaid Invoices

What are the invoices still unpaid year to date?

This report is similar to All Invoices, but only shows invoices that do not have a fully paid amount. This means an order needs to have a status of Invoice and have a remaining balance to show in this report. Invoices without any recorded payments and invoices with partially paid amounts will show on this report.

This report can be filtered by Invoiced Date, Archived Status, Companies, Customers, Due Date, Paid Status, QB Status, Term, and Workflow to find the orders you’re looking for.


Invoices by Service Writer

How many invoices did my Services Writers have this month?

This report shows how many estimates and invoices your assigned Service Writers have created, as well as their commissions and associated billed hours and paid invoice totals.

For Service Writers to be included in this report, they must be assigned to an estimate or invoice. For more information about assigning service writers check out our help article.

Orders without Service Writers assigned will show up as 'Unassigned.'


All Estimates

Which estimates do we still have from last week?

This report shows important information on estimates. This report shows the same information as the All Orders report but only for orders with the status of Estimate within the selected date range. This report uses the Created Date to determine what is in the date range to be displayed.

This report can be filtered by Creation, Archived Status, Companies, Customers, Workflow to find the work orders you’re looking for.


Customer Aging

How long has it been since they were invoiced?

This report shows all of your customers that have outstanding payments. This report includes their total amounts due, with the number of days since they have been invoiced. The report columns show how long after invoicing it has been. For example, if you invoiced an order and the customer hasn’t paid this month then it will show up in the 0-30 column. This also works if you use Payment Terms. For example, if they are on 30 day terms, on day 31 the customer will show up as 1 overdue, in the 0-30 column NOT overdue 31 days in 31-60 column.
